Please read these Terms and Conditions carefully before booking or using any services offered by Peak Expeditions Tanzania. By making a booking with us, you confirm that you have read, understood, and agreed to these terms.
1. Terms and Conditions
These Terms and Conditions govern the relationship between the Client and Peak Expeditions Tanzania:
When you book a trip directly with us;
When you book a trip through our partners acting as our sales representatives.
When booking a trip with us directly or through one of our partners, including various travel agencies and marketplaces, both parties automatically agree to be bound by these Terms and Conditions.
Please note that these Terms and Conditions outline the rights and responsibilities that you have while booking and participating in our tours in Tanzania.
2. Our Warranties and Representations
We warrant that:
We have all necessary licenses and permits to organize and operate Kilimanjaro climbing expeditions and wildlife safaris in the United Republic of Tanzania;
All our Kilimanjaro guides, wildlife safari driver-guides, and consultants have professional training in their respective fields;
All information used in our marketing and advertising is true and accurate. We do not exaggerate or misrepresent any aspect of our products or services.
3. Treatment of Your Personal Information
We require certain personal information to arrange your expedition. This may include your full name, age, nationality, passport information, dietary requirements, and medical particulars.
Parts of this information may be shared with Tanzanian wildlife authorities for permit processing and with accommodation providers to ensure your stay is comfortable.

To avoid travel scams, ensure that all communications with us are carried out through the following official channels:

As part of our proactive communication security policies, we have not experienced cases of our company being impersonated or misrepresented by malicious third parties. However, caution is always advised.
If you believe that someone you are communicating with is not a legitimate representative of Peak Expeditions Tanzania, please contact us directly by phone at (insert phone number).
5. Prices
Once we confirm your booking, the price will not be changed except in the unlikely event that the Government of Tanzania increases park fees, taxes, or other tourism-related charges. In such cases, a copy of the relevant public notice will be provided to you immediately.
If a price increase occurs, you will have the following options:
Cancel your tour and receive a refund in accordance with our cancellation policies;
Accept the revised price and pay the difference.
6. Changes to the Itinerary
Changes by the Client
Any changes you make to your itinerary will be free of charge if they do not result in additional costs to us. Any additional costs must be covered by the Client.
If you decide to discontinue the tour after it has started, either voluntarily or involuntarily, you will be responsible for any additional costs caused by your decision to leave the trip. These costs may include transportation and accommodation expenses.
If you miss any tour service, sightseeing activity, meal, or fail to use any included service by your own choice, no refund will be provided.
Changes by the Company
While we do our best to ensure your tour proceeds as planned, circumstances may arise that require itinerary changes, such as route closures due to weather conditions. Although rare, these situations may occur, and we will endeavor to notify you promptly.
Changes Because of Third Parties
Peak Expeditions Tanzania shall not be liable for delays, disruptions, damage, or loss outside of our reasonable control. This includes, but is not limited to, third-party actions, flight delays, and force majeure events.
You or your insurance provider will be responsible for any additional expenses resulting from such disruptions, including accommodation and transportation costs.
7. Changes to Travel Dates
If you wish to change your travel dates after payment has been made, you must notify us no later than 60 days before the original start date of your tour. Any proposed new dates must fall within one year of the original travel dates.
Please note that Tanzanian domestic airlines generally do not allow flight rescheduling. Hotels and lodges may also impose penalties or seasonal rate increases for date changes. Any additional costs incurred will be your responsibility.
8. Cancellation Policy
Your booking request must be submitted in writing, and a 30% deposit is required to secure your reservation. The remaining balance must be paid at least 20 days prior to the safari commencement date.
Please note that a 3.5% credit card transaction fee applies to all payments made by credit card.
All payments should be made directly to the Peak Expeditions Tanzania bank account. We will never request payments through Western Union, MoneyGram, or similar transfer services.
Reservations that are cancelled, shortened in duration, or reduced in participant numbers are subject to the following cancellation fees if cancelled within 60 days of the arrival date:
60 to 30 days prior to arrival: 30%
29 days to 48 hours prior to arrival: 65%
Within 48 hours of arrival: 100%
9. Travel Documents, Visas, and Entry to Tanzania
You are responsible for ensuring that all travel documents are valid and in place before travel.
Your passport must remain valid for at least six months after entry into Tanzania and contain at least two blank pages for visas and stamps. You are also responsible for obtaining the correct Tanzanian visa.
While we may provide general visa-related guidance, such information should not be considered comprehensive legal advice. Visa requirements may change, and we recommend contacting the Embassy of the United Republic of Tanzania for the latest information.
You are responsible for all visa and entry-related expenses.
Peak Expeditions Tanzania shall not be liable if you are denied entry into Tanzania or any transit country for any reason. In such cases, refunds and tour rescheduling may not be possible due to prepaid park fees and other incurred expenses.
10. Accommodation
Accommodation in Hotels
Open group departures include accommodation on a shared basis in double or twin rooms with fellow travellers. Solo travellers will be paired with a same-sex traveller unless a single supplement is requested at the time of booking.
Accommodation arrangements for private adventures are agreed individually with our consultants.
Hotel accommodation included in our safari and Kilimanjaro packages is subject to availability. If a listed hotel is fully booked, we will offer an alternative before confirming your booking.
Tented Accommodation on Mount Kilimanjaro
Our Kilimanjaro climbing packages include shared tent accommodation with two travellers per tent.
If you prefer a private tent, please notify us at the time of booking. Additional single supplement charges apply.
Please note that private tent accommodation is not available on the Marangu Route due to park regulations.
11. Fitness and Medical Information
It is your responsibility to determine whether you are physically fit for a Kilimanjaro climb or wildlife adventure. We recommend seeking professional medical advice if you are unsure.
We may request medical information or require completion of a medical form. If you have a pre-existing condition that may affect your participation, we may request approval from a licensed medical practitioner.
Failure to provide requested medical documentation may result in tour cancellation, subject to applicable cancellation fees.
We reserve the right to decline participation if we reasonably believe your medical condition may endanger yourself or others.
All medical information will be treated in accordance with our privacy and personal information policies.
We may cancel your participation without refund if:
The medical information provided is false, inaccurate, or incomplete;
Your medical condition deteriorates during the tour and poses a risk to yourself or others.
You will be responsible for any costs associated with such cancellation.
If you have special dietary or medical requirements, you must inform us at least 30 days before arrival in Tanzania. We will make reasonable efforts to accommodate special diets, including vegetarian, vegan, gluten-free, and halal meals. However, we cannot guarantee accommodation of all special requirements.
You acknowledge that some facilities and services commonly available in your home country may be unavailable or inaccessible in Tanzania.
12. Travel Insurance
Travel insurance is mandatory for participation in all our tours.
If you are climbing Mount Kilimanjaro, your insurance policy must include high-altitude trekking coverage up to 6,000 metres and helicopter evacuation.
You are responsible for ensuring your insurance policy provides sufficient coverage for all relevant risks associated with your travel plans.
In the event of an insurance claim, you are responsible for notifying your insurer and complying with all claims procedures. We may provide reasonable assistance but cannot guarantee claim approval or reimbursement.
13. Authorities and Our Guides
It is mandatory to follow all safety instructions and decisions made by our guides. The chief guide’s decisions regarding expedition arrangements, itinerary, and safety matters during a Kilimanjaro trek are final.
If the chief guide believes your physical condition or behaviour poses a danger to yourself or others, they may require you to descend from the mountain with assistance from staff and porters.
14. Acceptance of Travel Risks
You acknowledge that our adventures may involve travel to remote regions where medical facilities and services may differ significantly from those available in your home country.
You understand that our adventures may involve risks associated with wildlife, altitude, terrain, weather, and other outdoor conditions.
By participating in our tours, you voluntarily assume all associated risks and release Peak Expeditions Tanzania from claims arising from injury, illness, loss, damage, or death resulting from participation in our activities.
15. Equipment and Gear for Kilimanjaro Climbs
While group camping equipment is included in our Kilimanjaro packages, personal clothing and gear are not included. Our consultants will provide a recommended packing list before your expedition.
If you do not own certain equipment, rental gear is available for an additional fee.
Before the trek begins, the chief guide may inspect your personal equipment to ensure it is suitable for the expedition.
16. Your Luggage and Valuables
We are not responsible for luggage lost, delayed, or damaged by airlines or third-party transport providers.
You are responsible for safeguarding your valuables, including money, electronics, jewellery, and personal belongings during the tour.
17. Images and Marketing
You acknowledge that our employees, guides, and fellow travellers may take photographs and videos during tours in which your image may appear.
By participating in our tours, you grant Peak Expeditions Tanzania and its partners permission to use such images and videos for marketing, promotional, and advertising purposes without compensation.
If you do not wish for your image to be used, please notify our staff before or during the tour.
